In the age of digital communication, the humble appeal letter stands as a timeless and powerful tool for charitable organisations seeking support from their local communities. Unfortunately, many charities tend to overlook appeal letters, perhaps feeling hesitant to directly ask their community for assistance. However, it is essential for charities to recognise that, while financial resources may be limited, they possess the ability to repay people in unique and mutually beneficial ways. The act of seeking support from the community is not merely a one-sided request; it's an opportunity for charities to give back in other ways.

As we entered the new year in 2023, the team at Community Action Norfolk recognised the pressing need for repairs in our office. With the carpets being a health and safety issue, we decided this needed to be prioritised. Beyond the essential considerations of maintaining a safe and healthy environment, we also aimed to uplift the overall atmosphere of our workspace.  However, as we began to gather quotes, it became apparent that the task at hand was neither inexpensive nor straightforward.  Faced with the financial constraints of being a struggling charity, and with no funding available for this task, we soon grasped the reality that carpeting the whole office was going to be too expensive.

Funding and Development Manager, Clare, reflects:
“We try to include a contribution to our overhead costs in our projects as a matter of good practice, but like many charities the costs of maintaining our office were well outside this, and we know through our Funding Service, that there isn’t a grant fund to replace our carpet, repair our blinds, or repaint our Office.  The real challenge for us is that these jobs are pressing - particularly the carpet which could have impacted on health and safety if left unchecked.”

After writing a compelling appeal letter, we successfully secured a complimentary carpet along with free professional fitting thanks to S&L Carpets. In return of this kind gesture, we provided some promotional support, as well as starting our “Pay it Forward Campaign” (to find out more about our pay it forward campaign, and S&L Carpets kindness, please click here). Not only did this allow us to spruce up our office space, but it also allowed S&L Carpets to reach a broader audience.

What are the benefits of writing appeal letters?

Community Connection:

One of the unique strengths of appeal letters lies in their ability to establish a personalised connection with the community. Unlike mass emails or campaigns, appeal letters create a sense of relevance and urgency that engages the person you are trying to reach on a personal level. The use of effective storytelling in your appeal letter creates an emotional connection, making contributors feel like active participants in positive change.
Furthermore, appeal letters serve as a bridge to connect with local businesses, many of whom have, or are interested in adopting a social responsibility focus. This connection allows them to offer support beyond financial aid.

Showcase your Impact:

Appeal letters serve as a medium to showcase the impact of community support. Whether it's providing essentials for families in need, funding educational initiatives, or supporting local healthcare services, these letters illustrate how each contribution adds to the improvement of not just your charity, but the community.

Spreading the Word:

Writing appeal letters provides an avenue to connect with an audience that may have previously been unreached, potentially extending the reach of your services to individuals who are unfamiliar with them. Consequently, the collaboration between local businesses and charities through these appeal letters has benefits for both parties involved.

Spreading the Kindness

Inspired by the generosity of S&L Carpets, who donated and installed our carpets, we felt compelled to extend this kindness to the wider community. As a result, we initiated our Pay it Forward Campaign, where in we are gifting free office furniture and equipment to support other charitable causes.  Of course, we welcome and appreciate any additional donations (no matter how small) to further amplify the positive impact of this initiative.
